THE ROLE

For this Interim position, Damen Naval is looking for an Office Manager who can start on a temporary basis in the engineering office of Damen Naval in Vlissingen.

As Office Manager you will play a crucial role in supporting our engineering departments in the Vlissingen office. Your responsibilities will encompass a wide range of administrative tasks, ensuring the smooth operation of our projects and day-to-day activities. You will be the central point of contact for colleagues and external partners, contributing to a productive and efficient work environment. KEY ACCOUNTABILITIES

As an Office Manager your key responsibilities will include:

  • Manage technical administrative activities, including document processing, archiving, and registration.
  • Maintain electronic data systems and document archives, ensuring the timely delivery of documents to clients.
  • Effectively manage departmental agendas, scheduling appointments and meetings, and taking meeting minutes.
  • Handle phone calls and direct inquiries appropriately.
  • Prepare documents, invoices, and statements while safeguarding confidential information.
  • Organize business trips, including travel arrangements and event planning.
  • Assist with various administrative tasks related to ongoing projects, such as document collection, order processing, and invoicing.

 

SKILLS & EXPERIENCE

As an Office Manager you should possess the following qualifications and qualities:

  • Intermediate vocational education (MBO) with a secretarial focus.
  • Minimum of three years of experience as an office manager, project secretary, or management secretary in preferably an engineering and/or project environment.
  • Basic knowledge of standard documentation and archiving techniques.
  • Proficiency in MS Office and general back-office software and familiar with document management processes.
  • Strong command of both Dutch and English, both written and verbal.
  • Excellent communication, organizational, and multitasking skills.
  • Excellent references antecedents as a pre-employment security screening is standard part of the recruitment procedure.
  • Permanent EU citizenship and passport are both required and candidates with NL/EU (work) visa or with both an EU and non-EU nationality and/or passport are not eligible in accordance with the requirements imposed by the military nature of our projects.
